How to prepare your PDFs for a job application
Recruiters and job portals usually want one tidy PDF: your resume first, then certificates, under a size limit. Here is a simple order of steps that works for most applications.
1. Turn everything into PDF
- Resume in Word: Word to PDF. A PDF looks the same on every device, while a .docx can shift around.
- Certificates as photos: JPG to PDF, or Scan to PDF to turn phone photos into clean pages.
2. Merge them in the right order
Use Merge PDF and drag the files into order: resume, then the highest qualification first, then experience letters and ID proof. Sideways pages can be fixed with Rotate PDF, and pages can be reordered later with Organize PDF.
3. Bring it under the size limit
Many portals cap uploads at 2 MB or 5 MB, and some at 500 KB. Compress to exact size reaches a limit you type in, such as 2 MB or 500 KB.
4. Protect ID documents when emailing
If you email a PDF that holds your Aadhaar, PAN or bank details, Protect PDF adds a password; share the password separately, for example by phone. Never put a password on a file you upload to a portal unless it asks, because the portal cannot open it.
5. Name the file clearly
A file called scan0001.pdf is easy to lose. Use your name and the role, for example Priya-Sharma-Accountant-Resume.pdf.
